Disclosure

Your participation in this event involves a certain degree of risk of loss, harm or injury to your person or property, including, but not limited to harm from contracting COVID-19 or other viruses, acts of God, theft, fire or accident. You must also understand that participation in this event is entirely voluntary and that AAEP/AAEVT requires attendees to abide by any applicable rules of conduct or local or state laws that may be announced at any time during the event, which may include wearing personal protective gear and engaging in social distancing. While AAEP/AAEVT is the sponsor of this event and takes commercially responsible steps to require the event facility to maintain the venue in a safe and healthy condition, you must understand and acknowledge that AAEP/AAEVT has no direct control over and is not responsible for the acts or omissions of the facility or others involved in producing this event. You are asked to carefully consider the risk involved and waive and release AAEP/AAEVT and all its officers, directors, employees, staff, volunteers, faculty and affiliates from any and all claims, damages, injuries, or expenses that you may incur from your participation in this event.

Code of Conduct

AAEP/AAEVT is committed to providing a safe, productive, and welcoming environment for all convention attendees. All participants, including registered attendees, speakers, exhibitors, sponsors, guests, service providers, and AAEP/AAEVT staff, are expected to behave responsibly in all AAEP/AAEVT activities in which they participate.

Examples of unacceptable behavior include, but are not limited to:

  • Harassment, intimidation, or discrimination in any form.
  • Physical or verbal abuse of an individual participating in or assisting with any AAEP/AAEVT convention activity.
  • Verbal comments related to gender, sexual orientation, disability, physical appearance, body size, race, religion, national origin, inappropriate use of nudity and/or sexual images in public spaces or in presentations, or threatening or stalking any convention participant.
  • Disruption of presentations at sessions, in the trade show, or at other events organized by AAEP/AAEVT at the meeting venue, hotels, or other AAEP/AAEVT-contracted facilities.

AAEP/AAEVT has zero tolerance for any form of discrimination or harassment, including but not limited to sexual harassment by participants at our meetings. If you experience harassment or witness any incidents of unacceptable behavior, the AAEP/AAEVT asks that you inform Deborah Reeder, AAEVT’s Executive Director, on-site so that appropriate action can be taken. 

AAEP/AAEVT reserves the right to take any action deemed necessary and appropriate, including immediate removal from the convention without warning or refund, in response to any incident of unacceptable behavior, and AAEP/AAEVT reserves the right to prohibit attendance at any future meeting.

Health & Safety

The AAEP/AAEVT and the Henry B. Gonzalez Convention Center are committed to protecting the health and safety of our convention attendees. As in 2021, the AAEP/AAEVT will follow the most current guidance from the Centers for Disease Control and Prevention at the time of the event. 

The Henry B. Gonzalez Convention Center has earned accreditation as a Global BioRisk Advisory Council (GBAC) STAR™ Facility for their stringent cleaning, disinfecting and infectious disease prevention processes. In addition to applicable mask guidelines at the time of the event, the following steps will be taken to mitigate the risk of COVID-19 transmission:

  • Increased frequency of disinfection of all building surfaces.
  • Hand sanitization stations throughout all areas.
  • Touch-free elevator buttons and restroom soap dispensers, lights, toilets, water and paper dispensers.
  • HVAC system which maximizes air filtration.
